Out-of-office email template

A good out-of-office reply does three jobs. It tells people when you're back, gives them a way to get help now, and names who to reach for anything urgent. This one does all three in a few lines.

Subject line

Out of office until [return date]

Email body

Hi there, Thanks for your email. I'm out of the office until [return date] with limited access to my inbox, and I'll reply to your message when I'm back. If you need help before then: • For account or order questions, our help center has answers to most things: [help center link] • For anything urgent, contact [backup name] at [backup email], who can help while I'm away. I'll get back to you as soon as I return. Thanks for your patience. [Your name] [Title], [Company]

When to use this email

  • You're on vacation, leave, or otherwise away from your inbox for more than a day

  • You want senders to self-serve or reach a backup instead of waiting

  • You're closing the office for a holiday and need an auto-reply on the support address

Tips for making it yours

Always give a concrete return date. "Shortly" tells people nothing

Link your help center so simple questions get answered without you

Name a real backup contact for anything that can't wait

Keep it short; nobody reads a long auto-reply
